The role of admin assistant is based in the London office and reports into the showroom manager. This person will be supporting all members of the George Smith team. Primarily working with those based in the London showroom, but the role will also involve working with other George Smith showrooms.
This role will also involve assisting our marketing manager.
Responsibilities for the role include, but are not restricted to:
answering phone calls and dealing with any queries as far as possible. Ensuring that all sales calls are passed on to an appropriate member of the team and that all messages taken are given to the appropriate person with full details of call (name, telephone number etc).
filing of all paperwork surrounding orders, maintaining an organised system and ensuring all filing is done promptly
working with the finance director on monthly collation of shipping documents. Going through previous month’s orders and where necessary contacting the overseas shipping companies to obtain necessary paperwork for tax and customs purposes
supporting sales team with their orders including such tasks as getting shipping quotes, ordering and sending out fabric samples and helping to liaise with clients re: site inspections and delivery details
maintaining fabric samples for all George Smith fabrics and any ranges distributed through the company (i.e. Raoul). This includes ensuring that an appropriate level of stock is kept in the showroom and liaising with the factory and suppliers to order new samples. This person will also be responsible for following up on each order and dealing with fabric sample deliveries
maintaining fabric library. This includes ensuring we receive updated fabric price lists, updating the prices in the fabric books and making a note of any discontinued fabrics
working with the showroom/marketing manager on the preparation and installation of window displays. These can be working to a specific theme or just general change of presentation. Includes research, sourcing, ordering
fulfilling all sample requests from George Smith showrooms overseas
booking all couriers and long distance parcels, where appropriate getting quotes and ensuring that the most cost and time effective service is used
assisting with all mail outs as well as data entry surrounding any competitions run by the company
ad hoc projects – this may include working with all areas of the business including the marketing department, accounts department or logistics department
organising some in-house events and assisting in organising larger events
The role would suit a proactive, detail orientated person who is keen to learn and be involved with all aspects of this busy company. The ideal candidate would have some experience of working in an office environment and a good understanding of luxury retail.
The showroom is open 9.30 am to 5.30pm Monday to Friday, and 10am to 5pm on Saturdays, however all members of the team are required to be flexible outside of these hours.
The role may involve occasional Saturday working. A day can be taken in lieu of each Saturday worked, although flexibility is required as to the timing of these days.
