OUTLINE JOB DESCRIPTION
Job Title: Administration Officer
Report to: Director of Performance and Chief Executive
Hours: 35 hours
Outline of Key Responsibilities
The Administration Officer is expected to assist the Union to achieve its objectives by carrying out financial and administration tasks and assisting other staff and officers to carry out their duties.
Outline of Key Duties
The list below is not exhaustive but is intended to briefly set out the duties that reflect the areas of responsibility for the post.
Because there are only three administrative staff with the Union each will be expected to cover for each other in a wide range of areas during annual leave or other periods of absence and particularly during busy periods of the Union’s activities.
The Postholder will be required to:
1. Provide administrative support for the Director of Performance in carrying out their responsibilities and duties
2. Undertake a range of administration tasks to ensure that the Union functions effectively. The following is not an exhaustive list but the duties could include for example, to:
• Type correspondence, committee papers, procedures and reports.
• Be responsible for arranging logistics for teams and individuals competing in competitions in the UK and abroad
• Order and manage all kit and equipment relevant to players and officials
• Maintain information systems; such as filing systems and the GUW website
• Organise meetings and appointments and undertake minutes
• Deal with mail
• Deal with telephone enquiries
• Prepare, print and circulate information to clubs
• Order stationery and printed materials as required. Ensure the provision of supplies of other goods as may be required
• Assist with the AGM preparation and administration
• Maintain the Union’s accident book.
• Support the arrangements for providing uniform and equipment
3. Undertake a range of duties to ensure that the financial activities of the Union are completed in a timely and efficient manner. The duties will mirror some of those duties listed in the outline job description for the Administration Officer (Finance)
4. Other
• Ensure that all activities undertaken are carried out to the highest standards of integrity and professionalism in accordance with the Union’s policies and procedures.
• Undertake any other duties which the Chief Executive may at any time deem necessary.
• As required under the relevant legislation, exercise personal responsibility for health and safety
This job description sets out the main duties of the post at the date when it was drawn up. Duties may vary from time to time without changing the general character of the post or the level of responsibility entailed, in addition the post holder is expected to carry out other reasonable duties as requested by the Chief Executive
PERSON SPECIFICATION
• Excellent written and verbal communication skills
• Ability to convey an efficient, confidential and professional manner
• Excellent telephone manner
• Excellent organisational skills
• Ability to prioritise work effectively
• Experience of filing and the organisation of information
• Experience of working in an office
• Able to use Microsoft Office and other IT and financial systems as required to deliver the duties of the post
• Ability to work on own initiative and as part of a team
