We are looking for an assistant studio manager and PA who will be an integral part of the team at Ab Rogers Design, based at our studio in East London.
You should be highly organised, calm and confident with exceptional multitasking and communication skills. You will have at least three years experience in a PA, administrator or office management role.
You will work within our small, friendly team of designers together with the studio managers to ensure the smooth running of the studio, with the opportunity to be closely involved in the studio’s varied projects. In addition you will support the creative director in a work and personal capacity, managing his busy diary, assisting with correspondence and carrying out tasks and errands.
We are looking for someone to start in mid May.
Essential skills:
proven problem-solving skills and ability to multitask
able to prioritise a demanding workload, work under pressure and to deadlines
calm, flexible, positive outlook and a diplomatic manner
numeracy and financial literacy, with experience of bookkeeping and accounting processes
exceptional communication skills in spoken and written English
IT literate – Mac user and proficiency in Microsoft Office. Experience of troubleshooting common issues, managing a server network, and use of Adobe Creative Suite is an advantage
experience managing complex electronic diaries
awareness of design and architecture procedures/terminology is useful but not essential
Duties include:
receptionist duties – answering phones, post, maintaining office supplies
managing the studio diary, arranging internal and external meetings
preparing monthly company accounts, project and staff expenses, invoicing and company taxes
managing office filing and administration
managing HR, hiring and induction processes
assisting with management of office policies, insurance, H&S
managing IT equipment, software, troubleshooting and maintenance
responsibility for building maintenance and utilities
planning and booking staff travel and itineraries
ad hoc assistance on projects – research, client liaison etc
monitoring press and running social media output
Duties as PA to creative director:
diary management and correspondence – both business and private
managing private personal payments
coordinating domestic arrangements – housekeepers etc
travel arrangements and itineraries
personal errands and tasks
