JOB TITLE: Club Secretary
RESPONSIBLE TO: Chief Executive Officer
RESPONSIBLE FOR: Assistant Club Secretary
LOCATION: Cardiff
OVERALL PURPOSE OF JOB: Responsible for the execution of football secretarial duties and day-to-day management of the football administration department.
MAIN DUTIES AND RESPONSIBILITES:
• Management of the day-to-day football administration department and staff.
• Full responsibility to ensure the department complies with all rules and regulations of the various football authorities, and that all relevant paperwork is completed on time.
• Responsible for all the players’ contracts and their individual requirements.
• Direct liaison with the Football Manager for all his requirements.
• Administration of all Club medical insurance records and personal accident insurance.
• Co-ordination with other Club Secretaries to ensure successful pre and post-match administration.
• Negotiating with agents and other football clubs in respect of transfers and contract matters
• Regular involvement in other matters including, but not limited to, Football in the Community, kit contracts, hotel bookings, coach travel and Health and Safety.
• Club Secretarial duties with regard to rules of each league of 1st team.
• Documentation of all transfers in and out for all age groups.
• Documentation of all loans in and out for all age groups.
• Monitoring of all receivable solidarity payments under FIFA Regulations and Club liability for the same.
• Monitoring of all contingent transfer considerations whether payable or receivable say by games, goals etc.
• Arrangements for all triallists.
• Arrangements for international clearance.
• Arrangement for work permits.
• Documentation and good order of all contracts.
• Administration and authorization of contractual player benefits.
• Authorisation of Football Dept. Invoices, monitoring of expenditure with responsibilities for maintenance of budget boundaries.
• Maintenance and publication of Club rules.
• Full responsibility in conjunction with the Chief Executive and relevant Team Manager for all disciplinary matters whether League or Club.
• Development/dissemination of all changes to rules of the game, National Association and League membership rules and adherence within the Club
• Filing of all match returns.
• Collation, tendering, award and documenting of all Club Team travel requirements by road and air.
• Collation, tendering, award and documenting of all Club accommodation requirements.
• Prime Role and arrangement of the following in conjunction with the Management team.
o Testimonials
o Friendlies
o Pre-season tours
o Post-season tours
o Internationals
o Non First Team Match Facilities
• Insurance valuation of playing/training staff in conjunction with the Manager/Chief Executive, tendering and placement of risk for the same.
• Club representation as necessary with regard to football industry pension schemes.
• Home event day management of Board Room/Directors’ Guest areas.
• Allocation of seats and dissemination of tickets for above.
• Arrangement for Directors/Directors Guests at away fixtures.

• In addition to these duties the job holder is required to carry out such other duties as may be reasonably required.
QUALIFICATIONS/EXPERIENCE:
Experience in professional football management and administration is essential.
Must be able to communicate and interact with a wide range of staff.
Must have the ability to work on own initiative and under pressure.
Must have the ability to develop within the role, learn new skills and deal with change.
Must be highly organized and assertive with strong communication and time management skills.
The role will demand a high level of self motivation, drive and enthusiasm.
Excellent communication skills, both written and verbal.
