Executive Assistant – Morgan Philips UK Limited

Key responsibilities:
Proactively manage a complex schedule, coordinating agendas, ensuring clashes are resolved, and troubleshooting where needed.
* Provide responsive and high quality administrative support to the Manager, including the creation of PowerPoint slides, the management of emails and other requests, project deadlines and deliverables.
* Ensure preparation for and follow-up actions from meetings that the Manager attends are carried out to a high standard and to time. Preparing agendas, meeting papers, attending meetings and taking minutes as needed.
* Provide project management support to Directors and Heads of Departments in all projects linked to the strategy of the business.
* Manage all Head Office facilities and services including contracts and providers; Maintain all records on insurances, risk assessments and up to date Health and Safety legislation.
* Line management and coach Office Administrator

Profile description:
Essential skills required:
* Significant experience as an Executive Assistant to a senior member who MUST HAVE pharmaceutical background, including extensive diary management and providing full administrative support in a fast past environment.
* Strong project management skills – written and to copy write and proof read presentations.
* Ability to handle sensitive confidential information with absolute integrity
* Ability to managing conflicting and often challenging deadlines, working effectively and calmly under pressure.
* Exception verbal communication skills working with senior stakeholders.
* Must have a background of managing at least 1 person.
* Ability to work with the wider team and organise office facilities – H&S wardens, stationary and managing domestic contracts.
* Proficient in Microsoft Office, Word, Outlook, Diary Management, Excel and PowerPoint
