Purpose of Job
The Senior Officer, Office Manager in a Resident Office (RO) ensures the functioning of the Resident Office in all administrative and related areas while also providing support to the Head of Office/ Deputy Head of Office with research, gathering business information, preparation of briefings, organisation of meetings and other government related tasks. Communicates with external parties as relevant.
Accountabilities & Responsibilities
Ensure daily functioning of the Resident Office, including secretarial work & Office Management (manage office supplies, expense accounting, SAP accounting).
Oversee RO budget utilisation together with the Head of RO/ Deputy Head of Office.
Liaise and maintain strong working relationships with relevant Ministries, Diplomatic Protocol, local commercial bank and other external parties as needed for the operations of the RO.
Assist with organisation of meetings, and events organised by the Bank in country/ location, coordinate visits of HQ colleagues and senior management, organise travel and logistic support. Assist in project and sector data search from various sources for business development purposes, for preparation of Country Strategies and briefing packages for management visitors.
Manage internal/external correspondence/requests including drafting responses for review, forwarding for action within the team and interfacing with other departments to ensure that follow-up action is taken.
Coordinate all required facilities, catering and technical assistance for internal/external meetings/training sessions, including venue sourcing, as well as billing arrangements.
Diary management – arranging internal and external meetings, conference calls and responding to meeting requests on behalf of the line manager.
Proactively manage and monitor the budget and review all charges to the team’s budget, as main or alternate Budget Officer, to ensure the accuracy of all financial details and compliance with the Bank’s procedures.
Assist the Head of Office/ Deputy Head of Office to ensure the workload of the OTE staff (driver, attendant, etc.) is well balanced and managed as well as support with any necessary communications.
Liaise with the Principal Administration Manager on all matters listed above to get the best guide and advise as necessary {where applicable in RO}.
Qualifications & Skills / Experience & Knowledge
Skills:
Fluent in English, Azerbaijani and Russian both written and spoken; ability to interpret and translate upon need;
Good sense of priorities, ability to organise work well, cope with pressure and meet deadlines;
Strong team player;
Ability to perform under dynamic circumstances or situations;
High flexibility.
Very good communication and organisational skills;
High degree of integrity.
Key technical skills:
Good numerical and financial skills;
Knowledge of local business, political, legal and cultural environment;
Excellent knowledge of the Bank’s policies and procedures.
Experience:
Administrative or back-office support;
Conducting research and presenting the information collated;
Compile statistical and other kind of reports.
Qualifications
Higher education or relevant qualification.
