THE JOB
The Course Operations Manager will be a key part of our Operations team in the UK based in London. The role will report into the Event Operations Director and will be responsible for planning, preparation and delivery across a suite of events for both Tough Mudder and Spartan. This is a complex planning and management role with multiple moving parts and a challenging delivery timeline.
Key objectives are to project manage key elements of our events: running courses and obstacles. Ensure seamless operational delivery, maximising customer satisfaction, being creative about course design and managing event budgets.
This role will work alongside two Event Operations Managers who are responsible for the effective delivery of Spartan and Tough Mudder UK Events. This role will work closely with the Event Operations Managers by taking ownership of the Course and obstacle selection.
ROLES AND RESPONSIBILITIES
Design: Course Designs, to include obstacle selection and sizing, locations, course routing and necessary site preparation. All elements in collaboration with Event Operations Managers and Product Managers.
Mapping: Creation of detailed site maps based on initial course design.
Safety and medical provision planning in conjunction with the Event Operations Manager.
Development and refinement of operational plans: Produce/contribute to key event planning documents.
Relationship management: Management of key construction contractors and venue stakeholders
Budget and financial responsibility: Collaborate with Event Operations Managers and Event Operations Director on construction budgets across a portfolio of events, including ongoing management against strict budget targets. Assist in post-event budget reconciliation.
Management of an event delivery team made up of contractors, crew and volunteers for build, live event and breakdown.
Manage and support the construction teams by producing snagging lists and completing obstacle sign off procedures.
Responsible for creating and maintaining a collaborative relationship across all Department teams including, but not limited to, Product, Construction, Workforce, Supply Chain, Commercial and Innovation.
Responsibility for end to end event site management, from pre-event sign off of the venue, through to break down, pack up and hand back processes.
Ongoing development of obstacle and course safety framework and documentation, including but not limited to; sitting on the Safety Committee, production and completion of Risk Assessments, Obstacle Position Guides, Obstacle Checklists and Standard Operating Procedures.
Innovation – actively identify and implement improvements to back of house and field of play operations
Relationship management – ensure effective relationships across key internal departments and with external stakeholders as required
Management of construction budget for suite of events, including budget management, reporting, season budget reconciliation.
Create purchase orders, invoicing and ensure financial control documents are up to date and accurate
Willingness to be working away, often up to 10 plus days at a time to oversee event delivery
Essential Requirements
Degree level education in a relevant discipline is preferred, comparable experience within the events industry will also be considered.
4+ years of experience in live events operations.
Demonstrable experience of mass participation event planning, particularly events in greenfield locations
Experience in online software suites; Google Drive, Docs/Sheets etc.
Excellent knowledge of Event Operations, planning, licencing, H & S.
Knowledge and experience managing budgets
