Team Assistant – BBC – London

We are now looking for a Team Assistant working with the HR Director to support our Corporate Functions divisions (circa 5000 employees).
This role is at the heart of the Divisional Human Resources (HR) team who support this division. The role will provide comprehensive administrative support to the HR Director, Corporate Functions. This will range from diary management, the handling and direction of queries, managing the liaising with the HR Service Centre and other parts of the BBC and supporting on key people related projects across the HR team.
This role is based in London and will involve working with the HR Director and their wider team to assist in the day to day running of the HR function. The role is hybrid working with 2-3 office days. There will be occasional travel for team meetings across the UK.

Role Responsibility
Provide comprehensive and proactive administrative and operational support to the HR Director using discretion to identify and resolve first line issues, manage in box and referring up as necessary
Organise key team meetings including co-ordination and distribution of agendas, supporting documents, production and distribution of minutes, and follow-up on outstanding actions
Assess the range and volume of work to be undertaken for the day or days ahead and plan to ensure work is completed to time and to an appropriate standard.
Maintain, efficiently operate and improve a range of office processes and administrative systems to ensure the smooth running of the team
Prepare documents, presentations and other materials to a clear brief, using established formats and standard software
Prepare straightforward analysis, manipulation and interpretation of data
Responsible for co-ordinating team IT requests, user administration, systems access and record keeping. Working with the lead asset manager to ensure those who are joining, moving or leaving the department are equipped appropriately with the right IT equipment
Supporting the team on inducting new members, as needed
Are you the right candidate?
We are looking for a team player who can provide valued contributions to the team but can also work independently. Key to this role is the ability to deal with a wide range of people from within the BBC, having good communication skills with stakeholders at all levels. Discretion and confidentiality are key. Experience of managing diaries is essential. Technical skills, including Microsoft PowerPoint and Excel are a requirement for this role. An interest in Human Resources would also be advantageous.
