We are a long established internationally operating architecture and interior design practice, with a focus on high end commercial and residential projects. Originally operating from Zurich, we are now based in London and are looking for an experienced and organised office manager to join our London based studio to help manage the smooth running of the company.
Potential candidates should be confident, enthusiastic with excellent communication skills and be self-directed with exceptional organisational skills. We are seeking someone immediately to join the team at our offices in Notting Hill.
Responsibilities will include:
maintaining office accounts and filing
responsible for all sales and purchase ledger postings including any necessary journals
manage and coordinate monthly billing, including credit control
daily cash flow management
liaising with external accountant for year end, VAT returns and payroll
providing regular reports on individual project profitability and resource usage
ensuring that all staff, freelancers and suppliers are properly contracted
ensuring all legal responsibilities are met, helping the company evolve while staying secure and compliant
develop and implement new administrative systems in the growing office
liaise with external IT company
providing PA support to the director and design team
making sure the office tidiness and appearance standards are maintained
maintaining supplies of stationery and equipment
answering phones, general emails, meeting and greeting clients
We’re looking for someone who is organised, tenacious, proactive and confident in using a range of project management and finance tools.
As well as having excellent attention to detail you’ll need to have strong communication and inter-personal skills and be able to adapt to changing priorities.
Preferred skills:
experience in Quickbooks accountancy software or similar
be fully proficient in Microsoft Word and Excel,
knowledge of InDesign and Photoshop would be beneficial
the ability of working on own initiative and as part of a team within a professional environment
minimum two years’ previous experience
an interest in architecture and design
German language is a plus but not essential
Salary depending on experience
