We are looking for a talented office manager to support operations and management of a medium-sized award winning architectural practice based in Spitalfields. The ideal candidate should be looking to build experience and responsibility but also be prepared and willing to carry out the basic tasks required in supporting a busy practice.
Key responsibilities:
Administrative duties: you will ensure the day-to-day smooth running of the office:
front of house: answering telephones, filtering calls, managing enquiries, greeting visitors and ensuring tidiness of the office
distribute incoming post/dealing with outgoing post
maintaining office supplies (stationary, toners)
filing and archiving
managing suppliers, utilities, insurances and landlord liaison
IT support and liaising with external IT support company
HR administration
finance and book-keeping – processing invoices, payments, liaising with external accountant, payroll and expenses
maintaining and developing office systems and procedures including monthly timesheet reports and planning staff workloads
drafting architect’s appointment documents and contracts
develop and book CPD and other staff training
help promote office culture and organise social events
Business development: you will have the opportunity to assist the partners in identifying new business opportunities within specific markets:
research areas of new business and put together pitch documents
review OJEU notices and competitions for suitable projects
manage a database for new business leads, and other key relationships
research networking opportunities for partners and other practice staff
management of the website and various social media platforms and develop newsletter campaign
supporting external press relations contact
enter architectural awards and competitions where appropriate
help build the brand profile of the practice
The ideal candidate:
high level of organisation and efficient in managing a variety of tasks
enthusiastic team player with a can-do attitude willing to take direction but also work on own initiative
experience of working in a design-led office is desirable
a good understanding of Adobe Photoshop and InDesign
knowledge of editing and managing websites and newsletters including a basic understanding of coding
excellent written and verbal communication skills
excellent Microsoft office skills particularly Excel
