Project Coordinator / Office Manager – Modular – London

Modular is a leading creator of landscape and exterior space in the residential, commercial and public sectors in the UK. It provides a complete solution covering design, manufacture and installation and has a proprietary range of hard and soft landscaping components and accessories.

Modular are recruiting for the full-time position of project coordinator and office manager. This is a new position in the company that is being created as a result of recent growth in value and complexity of projects. This position is also important in assisting the management team to deliver future development and growth of the business.

The role will suit a highly organised efficient person with a minimum of three years experience of working in the business of delivering bespoke design and build projects and someone who has had direct experience in the management of similar projects. In addition to operational experience the role requires the following:

This position reports to: the installation director or delegate thereof.

Responsibilities:

This position has active roles in the following areas of the Modular business:

Modular design through to installation
Modular marketing and sales
general Modular office and business management

Key duties and responsibilities under each function are as listed below:

Design through to installation process:

responsible for organising and implementing weekly management and installation meetings
responsible for executing the management of materials order processing
responsible for producing invoicing schedule
responsible for management of information received and sent processes
responsible for ordering of sub-contractors on site
assisting the installation director with the implementation and monitoring of safety, quality control of materials and technical standards of Modular and third party install teams
assisting the installation director in the creation and management of output documentation required by design through to installation process
assisting the installation director with project management and programme updating
preparing documentation for tender
assisting with project pricing

General office and business management:

responsible for maintaining an organised office environment and office equipment
responsible for organising functions, meetings in office and off site
responsibility for general office management

Detailed responsibilities:

design through to installation process
marketing maintenance services to clients
agreeing maintenance packages with clients at the end of projects
managing maintenance programme, booking client dates and labour/materials
client account financial management – invoicing out, payments in
organising survey data collection
setting out job filing structure
updating project programmes
materials ordering
labour allocation to projects
collection of H and S data
material research and development
updating project budgets
production of O and M documentation
collecting imagery from projects for marketing and information
producing financial budget reports
ensuring health and safety documentation is updated
general office and business management
managing stationery ordering and supplies
postage and printing
overseeing telephone and communication management
managing issues regarding the premises in general
managing software itinerary
liaising and managing Modular IT support
process general telephone enquiries
managing office diary
