Job Description
• Manage all aspects of SD’s people, including:
• administration of all personnel records and information including preparing staff contracts and maintaining records of holidays, sickness, flexitime, training records;
• responsibility for all recruitment and induction processes for staff, volunteers and Board members;
• maintaining records of volunteer involvement and ensuring volunteer management at SD remains in line with best practice;
• as the main point of contact and advice on matters of employment law and/or best practice, liaising with external HR advisers as required, to provide to the Chief Executive, Staffing Subcommittee and/or Board as appropriate;
• updating and maintaining SD’s Staff Handbook, with external advice as necessary, ensuring policies and procedures remain up to date in line with legislation and best practice;
• managing and regularly review SD’s overall benefits package with advisers, ensuring that it is fit for purpose and value for money, and to secure Board approval for any budgetary implications;
• developing and keeping under review SD’s learning and development strategy, and ensure its regular review by the Chief Executive and Staffing Subcommittee.
• co-ordinating staff appraisals and development plans, ensuring that access to training is appropriate and equitable, and that SD’s training budget covers organisational need.
• dealing with any initial staffing issues and respond to queries from staff concerning changes of hours, training and development
• To participate in staff supervision sessions and employee development reviews.
Board, governance and continuous improvement
• To act as Board Liaison – organise, attend Board and Employment Sub-Committee meetings.
• To work on agenda in timely fashion and collate and distribute Board papers prior to each meeting ensure relevant documents are included.
• Produce timely and accurate minutes for Employment Sub-Committee, as necessary.
• To work with the Secretary, Board to maintain up-to-date records with the FCA, including annual returns.
• To co-ordinate various Trustee, staff and team meetings and produce/circulate minutes/notes and related documents where applicable – including the AGM
• To support the Chief Executive in the preparation and production of organisational impact reports, in particular in line with the annual accounts.
Financial
• Support Finance Manager in all aspects of financial management
• Approve all financial transactions utilising online banking systems
• Check and approve expense claims, invoice and any other payments
• Ensure grant claims are submitted, including all relevant information, within the timeframes set out in funding agreements
• Inform Finance Manager of any changes to payroll
• Check and approve monthly Payroll reports
• Attend all monthly finance meetings
Facilities
• To oversee SD’s contracts and relationships with external suppliers and service providers, such as premises, website, database and office ICT systems, including negotiation and purchase.
• Manage ICT, mobiles, email systems, online file storage and ensure all issues are resolved in a timely manner.
• Liaise with web developers to agree and manage any changes to hard coding
• Ensure website is updated with any organisational changes
• To identify the budgetary requirements and impacts of SD’s supplier relationships, and to ensure they remain value for money and fit for purpose.
• To ensure the safe collection, storage and protection of data and to work with the Events and Membership Manager to ensure the awareness and coordination of data protection.
• Maintain the fixed asset register and ensure that SD’s assets are renewed and upgraded as necessary.
• Ensure the organisation is in fulfilment of its requirements under relevant health and safety legislation and ensure that safe working practices are adopted and a safe working environment maintained in work areas.
• Ensure all terms of leases and office agreements are communicated and monitored
General and management
General Accountabilities
• Support the CEO, as required
• Ensure that the output and quality of work is of a high standard, working in a way that contributes to the continuous improvement of the quality of the service being delivered.
• Keep an up-to-date knowledge and understanding of issues relevant to this post.
• To attend staff meetings, participate in training and professional development, negotiate and work towards targets and deadlines as agreed with the Line Manager.
• To undertake such other tasks as may reasonably be required commensurate with the grading and nature of the post.
• Be aware of Health & Safety regulations. Work carried out must accord with current legislation, regulations, codes of conduct, procedures and policies.
