Full-time office manager/administrator required.
We are a well-established, highly regarded firm of architects, with branches in London, the south west, Wales and Herefordshire.
A vacancy has arisen in our London office for an experienced office manager, responsible for efficiently and effectively managing all aspects of the office, ranging from financial control through to project support and client interaction.
The right candidate will have at least two years previous experience in a similar role for an architects/surveyors/interior designers or similar.
Key duties:
front desk reception duties including meet and greet, incoming and outgoing post
production of fee proposals and tender documents. The co-ordination of bid submissions
monitoring work flow and ensuring architects provide timely and accurate information for recording and reporting purposes
preparation and accurate maintenance of fee forecasts
co-ordinate sub-contractors, process timesheets and expense claims
provide regular reporting including actual v forecast fee reports
provide PA support to the London-based partner including diary management
liaise with external bodies such as the landlord, IT support etc
develop and improve systems and more efficient ways of working
liaise with other members of the group and ensure accurate information is available for partner meetings
The candidate:

show initiative with a proven ability to work well under pressure. Undeterred by changing demands whilst ensuring deadlines are met
good IT skills and proficiency with all Microsoft Office packages
excellent time management skills, ability to prioritise and organise workload
positive, flexible, “can do” attitude with a strong sense of responsibility to ensure the highest standards are met throughout the business
able to communicate clearly and effectively at all levels with a confident telephone manner and excellent spoken and written English
