We are looking for a talented office manager to support the management and growth of our small design-led structural engineering practice in Clerkenwell. The ideal candidate should be looking to build experience and responsibility but also be prepared, comfortable and willing for the basic tasks required in supporting a busy and growing practice.
Key responsibilities:
Administrative duties:
You will ensure the day-to-day smooth running of the office.
front of house: answering telephones, filtering calls, managing enquiries, greeting visitors and maintaining the professional presentation of the office
distribute incoming post and dealing with outgoing post
maintaining office supplies (stationery, toners, furniture etc)
filing and archiving
managing suppliers, utilities, insurances and landlord liaison
HR administration
maintaining and developing office systems and procedures including monthly timesheet reports and planning staff workloads
ensuring that health and safety, fire and first aid arrangements are met as required by legislation
drafting appointment documents and contracts
manage staff training and book training courses, CPD etc
help promote office culture and help organise social events
arranging lunches for office meetings
managing travel arrangements
managing the director’s diary
Business development:
You will have the opportunity to assist the director in identifying new business opportunities within targeted and specific markets.
putting together pitch documents
creating publicity material including project profile sheets using Adobe InDesign
create and manage a database for maintaining key relationships and exploring new business leads
research networking opportunities for partners and other practice staff
management of the website and various social media platforms
supporting external press relations
enter design awards and competitions where appropriate
help build the brand profile of the practice
The ideal candidate:
has excellent time management skills, ability to prioritise and organise workload
is an enthusiastic team player with a can-do attitude willing to take direction but also work on own initiative
experience of working in a design-led office is desirable
has a good understanding of Adobe InDesign and Photoshop
has knowledge of editing and managing websites including a basic understanding of WordPress
has excellent written and verbal communication skills
has excellent Microsoft office skills particularly Excel
