1) Background
Chance to Shine is a national children’s charity. We give young people the opportunity to play, learn and develop through cricket. We keep them physically active, teach them vital skills like teamwork, communication and leadership. And above all, they have fun!
Chance to Shine coaches inspire children and teachers in state schools and disadvantaged communities. We work with half a million children each year – nearly half of them are girls.
Street cricket sessions are fast, fun and loud. They take place in the heart of communities all across the country, anywhere from a housing estate to a sports hall – and all year round.
We’re really passionate about what we do but we’re ambitious and we want to do more.
The Fundraising Team is tasked with securing new partners and donors and the stewardship of existing supporters across a range of funding streams: corporate, events, trusts and foundations, individuals, and statutory funding to support the delivery of Chance to Shine programmes.
This is an exciting time to be joining the Fundraising Team with 2019 being a record fundraising year. We have an established calendar of events including our Chance to Dine gala dinner, annual awards ceremony, a golf day at The Berkshire and in recent years a series of bespoke dinners and drinks receptions with VIP’s from the world of cricket. We currently have high value, multi-year partnerships with NatWest and Yorkshire Tea and are looking to grow our corporate fundraising across sponsorship and CSR partnerships.
This role will support the Special Events Manager to deliver an annual portfolio of events as well supporting the Corporate Partnerships Manager in areas including sponsor activations, corporate employee engagement events and leading on a number of smaller partnerships. The role will typically focus 75% on Special Events and 25% on supporting corporate relationships.
We are looking for an energetic, enthusiastic and efficient Special Events & Partnerships Executive to join a small and dynamic team.
You will be based at the Oval with a view of the pitch from the office!
2) Purpose of the role
The role of the Special Events & Partnerships Executive is to help maximise income for Chance to Shine from fundraising events, to support with the deliver of wider organisational stakeholder events and to support corporate partnership led activations and events. The role will primarily:
• Assist with the implementation of Chance to Shine’s events programme
• Manage challenge events and the stewardship of our challenge event supporters
• Assist with the delivery of corporate sponsor activation plans
• Assist with the stewardship of corporate partners and event supporters
3) Key responsibilities
Special Events
• Co-ordinate logistics for Chance to Shine (CTS) fundraising and organisational events including managing event paperwork and processes, such as invitations and RSVPs
• Develop event collateral for relevant events within your portfolio e.g. brochures, flyers.
• Responsible for admin support for CTS fundraising events including maintaining attendee and gift records on Raisers Edge
• Responsible for the sourcing and fulfilment of auction items and raffle prizes to be used at CTS and third-party fundraising events, including developing partnerships with potential auction donors (both individual and corporates)
• To support with sales for CTS events, such as golf days and fundraising dinners, through prospect research
• To recruit and manage volunteers to support CTS fundraising events
• To regularly monitor the Events email address
• To assist with the delivery of activities that may occur in partnership with other charities
• To co-ordinate and manage invitations to hospitality opportunities
Challenge & Beneficiary Events
• To project manage challenge event activity, including identifying potential challenge event supporters and partnerships
• To provide support to third party supporters raising funds for CTS through beneficiary event activity
Corporate Partnerships
• To manage employee volunteering opportunities for corporate partners
• Support the Corporate Partnerships Manager to deliver sponsor activations including employee engagement and PR led events.
• To account manage a small portfolio of corporate partnerships, as agreed with the Corporate Partnerships Manager, including the provision of regular updates and reports and the organisation of employee engagement opportunities
• Manage the distribution of Chance to Shine’s ticketing allocation
General
• To ensure that the contact database and donor records relating to events and corporate/commercial partners are kept up to date
• To maintain the commercial, corporate and events section on the website
• To work with the communications team to promote events and corporate partner activity
• To assist with other fundraising tasks as required
• The role includes supporting at events that occur outside of normal office hours.

5) Skills, knowledge & personal competencies
• A passion for fundraising or events with relevant voluntary or work experience
• Enthusiasm to embrace Chance to Shine values: Inspiring, ambitious, passionate, inclusive and fun
• Good organisation and administrative skills and an ability to forward plan
• Excellent written and verbal communication skills with strong attention to detail
• Comfortable dealing with stakeholders at all levels
• Self-starter with strong motivation to succeed and ability to work independently in carrying out assigned tasks
• Good team player
• Creative, energetic, proactive and outgoing
• Good time management skills, able to work to tight deadlines and an ability to work under pressure
• Excellent IT skills: knowledge and experience of using MS Office Word, Excel
• Experience of CRM/Fundraising Databases (desirable)
• Knowledge of Adobe InDesign (desirable)
• Able to work extended hours to support events as required (TOIL will be available)
• Able and willing to travel throughout the UK
Hold a valid driving licence
