Job Summary
We are seeking a self-motivated and enthusiastic individual to support the delivery of our UK wide coach and volunteer education programme.
This is a valuable role within the Education Department as the successful applicant will be responsible for implementing National Governing Body and County Sport Partnership coach education programmes as per our contractual agreements.
The successful applicant is required to have excellent computer skills and be able to communicate effectively to customers and partners. The ability to multi-task and deal with conflicting priorities is essential. We are looking for an individual that can work as part of a team but who also has the ability to use their initiative and be pro-active. The successful applicant must have good attention to detail.
Duties and responsibilities:
1. To effectively coordinate and administrate our national coach education programme including:
– Coordinating our online booking system and supporting with the maintenance of the
website
– Supporting with course enquiries and registered interests via telephone, email and
the website chat function
– Monitoring learner spreadsheets ensuring information is accurate and meets
requirements
– Monitoring outstanding course payments
– Registering learners with the relevant awarding bodies and generating unique learner
and event numbers
– Supporting with sourcing venues for courses where required
– Sourcing approved tutors and assessors for courses, ensuring they have the relevant
course details and documentation
– Responsible for the Archery Renewals process, ensuring that information is accurate,
income is recorded and outstanding learners are followed up.
– Communicating with leaners effectively pre and post course, ensuring they have all
the relevant information
– Reviewing and developing pre-course and post course information to ensure
information is up to date and fit for purpose
– Distributing internal and external qualification reports to the workforce.
– Ensuring our workforce are fit for purpose and have the correct evidence to meet
workforce requirements for course/qualification delivery
– Supporting the collection of course feedback from learners, course organisers, partners and members of the workforce and action changes where required.
2. To be able to communicate effectively with key partners and clients such as National Governing Bodies, County Sport Partnerships, Private Coaching Providers, and Education Institutions.
3. To support with sourcing new facilities and maintaining existing relationships with our facility providers, ensuring courses are booked in as per the course requirements.
4. To work closely with the marketing executive to prevent courses from being cancelled, identifying opportunities to promote courses where appropriate.
5. To implement the quality assurance strategy for relevant qualifications.
6. To respond to ‘closed’ course organiser requests – communicating effectively with the course organiser, sourcing tutors and ensuring the course runs smoothly as per the course requirements.
7. Support where appropriate our online learning website coachingwithballs.com alongside the Marketing Executive
8. To be responsible for contributing to quarterly and yearly reports for our coach education programmes and attend client meetings (where required).
9. To implement fit for purpose administration systems, processes and documentation which are regularly reviewed.
10. To be responsible for maintaining project management files and individual records for all participants and comply with all the requirements of the project funding bodies or awarding bodies in terms of conditions, monitoring paperwork and administration
11. To undertake appropriate training and development opportunities.
12. To ensure the health, safety and welfare of employees and the public by complying with the appropriate Health and Safety Policies, Organisations and Arrangements and the employment of Safe Working Practices and Risk Assessment and Management.
13. To comply with the No Smoking policy.
14. To undertake such other duties as may be appropriate to achieve the objectives of the post, and to assist the division in the fulfilment of its overall objectives, commensurate with the post holders’ contract.
